Protect Your Data: Encrypt Your E-mail Messages
The University of Nebraska takes seriously its duty to protect personal and confidential data related to staff, faculty and students. In an effort to protect this information, especially when it is sent electronically, extra steps should be performed to ensure interception of data does not occur. One way to protect this data is to use the encryption feature within Lotus Notes.
To always encrypt your Lous Notes e-mail:
- From within your Lotus Notes account, click File, select Preferences and then select User Preferences.
- Click Mail, and select the General option.
- Under the heading "Sending", check the box next to "Encrypt mail that you send".
- If you want to encrypt the saved copy of the e-mail that you send, check the box next to "Encrypt saved copy of mail that you send".
- Click OK.
To encrypt one e-mail at a time
- After you have created your e-mail and before you click Send, check the "Encrypt" box on the tool bar below the send button. If you don't see this toolbar, click Delivery Options, and under Security Options, check the "Encrypt" box.
- Click OK.
As a reminder, Lotus Notes encryption is only applicable to e-mail sent within the university system. When sending a message to a non-university e-mail address, like a Yahoo or Hotmail account, you will receive a warning indicating the e-mail message would be sent unencrypted. If your message contains personal or confidential data you should select Cancel Sending and find an alternate means to distribute the information.
